Mykosmos the user is considered mainly as an associate. Every associate has “Activities” to work on, “Info” to read, “Procedures” that owns and administers, “Mail” to manage. All of the above are related to “Businesses” and “Contacts”. In cases that the role of an associate is that of the CPO then an analogous “CPO Control Panel” is provided. Organogram inspection also provided when the associate acts as the head officer of a company’s department.
Incoming Activities to close
The activities are comming to the associate’s mykosmosl from processes that activated throughout the company according to the role or roles assigned to associate. The activity shows also to other associates that share the same role. The activities can be assigned also exclusively by the name. When a activity closes by forwarding disappears from the associates mykosmos. The associate can view the full history of the process the activity belongs.
Any Activity that is closed remains in a separate list. And stays there until the Process in which the Activity belongs also closes. The associate can set some data to the Activity that misses in first place, attach some documents or put data that are required later by his colleagues. An Activity remains there as long as the process to which belongs is active.
Associate as a Process Owner
Usually the situation is that an associate that is a process starter owns also that process. So a list is provided to the associate that shows where the open activities of the process are. This shows by role and or name. This list shows only the processes that are active.
The infos are coming to the associate’s mykosmos from processes that activated throughout the company according to the role or roles assigned to associate. The info shows also to other associates that share the same role. The info can be assigned also exclusively by the name. The info remains to the list until the process they belong closes.
The mail is coming to the associate’s mykosmos according to the mail accounts that the role or roles assigned to associate. The mail shows also to other associates that share the same role. Its obvious that the mail accounts are given to certain roles instead by associate’s name. The mail and their attachments are converted to documents an can be used as starters to processes throughout the company.
The processes, activities, infos and mails mentioned so far mainly are related to business partners of the associate’s company. So the associate has a list that contains all the business partners that are serviced by him or service him by a role or roles the associate is assigned. Every process, activity, info or mail that is related to a specific business partner is shown in a specific form so a holistc picture of the business partner is available when necessary.
Some of the activities, infos and mails mentioned so far are related to contacts the associate services. So the associate has a list that contains all the contacts that are related by a role or roles the associate is assigned. Metrics and Targets
Under the KPIs notation in the associates menu are metrics or targeted metrics (simply targets) that are assigned to the associate. The assignment is done through the role or roles the associate is assigned. The metrics that assigned have a calculated period and come as activities to the incoming activities list for inspection and evaluation. In the KPIs list are shown all the current values of the assigned metrics along with their value history.
The associate has the ability to declare his/her status and to define also other colleagues to support his work i.e. to replace him in activity execution an forwarding.
Assign Activities to one of more of your Colleagues
Put a subject and describe the activity into the form. Attach one or more documents to provide more information. Finaly select colleagues from a list to assign the job. The system then coordinates the process in order that the activities from each of the assignees checked for validity by you before considered as closed ones. The assignees can dispach their activity further to other colleagues by starting subprocesses. The hole process does not finished until all the activities are closed by your validation as the initial assigner
Project Starting and Assignment
Just define a subject for the project. This is the first project activity and is assigned to you. Keep defining subactivities to the initial activity and assign them to your colleagues. The activities that go to your colleagues can be further subactivityed by them in order to cover every aspect of the assigned job. Naturaly, to every activity can be attached documents or job descriptions in order to describe sufficiently the activity. Finally the project closes only when every of the subactivityed activities are closed until the first one.
Simple activity Assignment
Just write an activity description and assign it to you or any one of your colleagues. Attach as many documents as you wish. This simple activity assignment can be used for simple sub-activating to any other activity.
When simple Chatting is sufficient enough
In cases when there is a need to gather some information from our colleagues it is enough to start a chatting session. Chatting starts as a process with one activity assignment to the starter. The other participants get only info items in their info lists. The process is closed when the starter decides to close the chatting activity. This chatting feature is mainly helpful for simple sub-activating of another assigned activity.
What about other Processes?
mykosmos comes with a full developer’s tool in order to build your processes your way. Ready packages are existed for some processes as “Customer Complaints”, “Corrective and Preventive Actions” and other will follow, but in reality each business does everything in its own way. BPM Monitored Entities
Mykosmos can put automatically relations to all the standard entities that are predescribed in the standard system. The materialization of the above brings into reality the “Process of everything”. This makes possible for different departments to have a unifying view of every entity and the processes that have touched them.Associates, Roles, Departments, Businesses, Contacts, Equipment and Resources: Process related!
What if I want more Entities to track down?
While Mykosmos developer adds more entities to database system, i.e. materials sold, contracts signed, etc and put them to “play” within processes, new trackings are generated automatically for the participating entities. So a full “processing view” of the new entity can always be available!
Write Processes Scenarios in an easy Scripting Language
Mykosmos developer can write any process scenario as soon as hears it or read it. For this purpose the scripting language used is AutoScript. In AutoScript there is possible to express activity simple spliting, parallel spliting for defined before paths (i.e. 3 or 4) or generally (i.e. count or n parallel splits). The code entity that coordinates the process is called “coordinator agent”. There is a possibility also to script “finite state machine agents” (FSM agents) to express virtualy any process path. “Planner agents” can also scripted for time critical situations (mailny as starters for simple activities or olther processes).
